The Role
Coordinates the purchase, receiving, storage and movement of goods, equipment, and furniture in conjunction with divisional program areas. Operates a central store and delivers supplies to program areas. Maintains a capital and supply inventory.
Duties/Responsibilities
- Purchases goods, furniture, and equipment according to specifications.
- Monitors stock levels and reorders supplies as required for program areas (e.g., Maintenance, Housekeeping, Laundry, Resident Care).
- Receives supplies from suppliers/couriers. Verifies shipments received, including quantities and condition against shipping bills. Reports shortages/overages, damage, and spoiled goods received to requestor.
- Prepares and arranges shipment of goods for credit/repair/return, in consultation with management.
- Secures inventory in storerooms and rotates stock.
- Delivers items received (not centrally stored), including food, furniture, equipment, to program areas.
- Maintains and operates a central store for the Division. Receives orders and delivers to program areas.
- Prepares and coordinates shipment of divisional waste and recyclables, including storage and shipment of hazardous waste.
- Maintains a computerized inventory system. Records information (e.g., model/serial numbers, quantities, cost, suppliers, date received); assigns/applies inventory numbers to equipment; and adjusts records when items are sold/replaced/discarded.
- Runs reports for program areas related to consumption, cost, and stock levels.
- Operates hand pump cart and hoisting equipment for shipping/receiving functions. Provides moving services for residents within the facility during internal moves, admissions, and discharges; and same for program areas.
- Cleans and organizes stock rooms, recycling room, and receiving area.
- Maintains inventory records, as required for purchase orders, shipping/receiving.
- Takes preventive measures regarding pest infestation and reports issues to management.
- Participates in quality and continuous improvement programs.
- Performs related duties as assigned.
Knowledge, Skills, and Abilities
- Knowledge of inventory management, shipping and receiving, math, and communication skills normally acquired through a College Diploma in Purchasing and Materials Management or equivalent, plus 2 years of related experience in a computerized inventory control environment.
- Knowledge of Workplace Hazardous Materials Information System (WHMIS) and safe handling practices for used medical sharps.
- Knowledge of and ability to adhere to corporate policies, procedures, and guidelines.
- A tuberculosis (TB) test and annual influenza immunization are required.
- Organization and problem solving skills to coordinate ordering activities; multi-task amid changing priorities and interruptions; and work independently.
- Communication and interpersonal skills to respond courteously and professionally to demands; interact and communicate effectively with staff, residents, and families; interact with and have a basic understanding of the geriatric population; place orders/confirm delivery times with suppliers; make recommendations for cost savings and efficiencies; and participate as an effective team member.
- Ability to read and write documentation related to receiving and shipping functions; read meeting minutes, safety and quality assurance forms, and policies and procedures. Ability to write supply lists, purchase orders, and complete forms for safety and quality assurance audits.
- Computer skills with ability to use Microsoft Office, and computerized inventory and document management systems.
- Must provide an acceptable Police Vulnerable Sector Check (level 3).
- Ability to support and project the Region’s values.
