The Role

Supports the Learning and Development team by assisting with process documentation, reporting and dashboard support, testing, research, and project coordination. Contributes to the ongoing improvement, consistency, and usability of learning and development processes, resources, reporting, and the Region’s SAP SuccessFactors Learning module.

Duties/Responsibilities

  • Reports to the Supervisor, Learning and Development. 
  • Supports supervisor and the broader Learning and Development team with projects and day-to-day activities that improve service delivery, internal processes, and user experience.
  • Assists with documenting current-state and future-state learning and development processes and workflows, and helps identify opportunities to streamline, standardize, and improve related forms, templates, and tools.
  • Creates, updates, and maintains documentation such as standard operating procedures, process maps, checklists, job aids, frequently asked questions, templates, and reference guides.
  • Collects, compiles, validates, and organizes data from sources such as SAP SuccessFactors Learning, SAP Report Center, Power BI, and Excel spreadsheets.
  • Supports recurring and ad hoc reporting by preparing data summaries, identifying trends or inconsistencies, and flagging data quality issues for follow-up.
  • Assists with the preparation, testing, validation, and maintenance of reports, dashboards, and other reporting tools used to support decision-making, compliance monitoring, and continuous improvement.
  • Supports SAP SuccessFactors Learning testing activities by documenting test scenarios, recording results, tracking issues, verifying updates, and maintaining related documentation.
  • Assists with organizing, tagging, and curating free and existing learning resources so they can be easily accessed and shared by employees and leaders.
  • Prepares clear and concise documents, presentations, summaries, reports, and communications to support learning and development initiatives and internal knowledge sharing.

Additional Duties/Responsibilities

  • Works in accordance with applicable policies, procedures, privacy and confidentiality requirements, accessibility standards, records management practices, and legislation.
  • Works in a standard office environment. May occasionally travel to meetings or Regional locations within Waterloo Region.
  • Uses a computer approximately 80% of the time for documentation, research, analysis, reporting, and project support. Communicates with others and participates in meetings (virtual or in person) approximately 20% of the time.
  • Performs related duties as assigned.

Knowledge, Skills, and Abilities

  • Knowledge and skills are normally acquired through current enrolment in a post-secondary program related to human resources, business administration, adult education, public administration, information management, data analytics, or a related field, plus related co-op, internship, project, or work experience.
  • Interest in and ability to support process documentation, reporting, systems testing, research, and continuous improvement activities.
  • Analytical and problem-solving skills to collect, organize, validate, and interpret information, identify trends or issues, and support practical recommendations.
  • Strong written communication skills with the ability to prepare clear and concise procedures, job aids, reports, summaries, presentations, and other documentation.
  • Proficiency with Microsoft Office applications, particularly Excel; experience with Power BI, SAP SuccessFactors, HR Information Systems, Learning Management System platforms, or other enterprise systems is an asset.
  • Ability to learn new systems, tools, processes, and business requirements quickly.
  • Organizational and time-management skills to manage multiple assignments, maintain accurate records, and meet deadlines in a changing environment.
  • Interpersonal and collaboration skills to work effectively with colleagues and stakeholders, gather information, ask questions, and contribute as a team member.
  • Ability to exercise discretion, maintain confidentiality, and demonstrate accuracy and attention to detail when handling sensitive information.
  • Ability to work in accordance with policies, procedures, accessibility requirements, privacy requirements, records management practices, and related legislation, and to support the Region’s values.

Additional Knowledge, Skills, and Abilities

To be considered for employment as a student, a person must be: registered as a full-time secondary or post-secondary student in an accredited institution, or currently recognized as having full-time status by the academic institution but applying for a school vacation, practicum or work term, or returning to full-time studies in the next academic term. Students who are in their final year of academic study and who are not intending to return to full-time studies are eligible for student employment up until the time they convocate. Students participating in education and retraining programs at the post- secondary level, though not full-time students, are eligible for related student employment opportunities, where appropriate.
