The Role
Provides customer service and administrative support to clients, the public, and staff.
Duties/Responsibilities
- Provides customer service and administrative support to clients, the public, and staff.
- Acts as a liaison between departmental programs/services and the public. Responds to inquiries and refers to external and internal services as applicable. Provides information regarding available services, general processes, and on completing and submitting forms.
- Provides reception duties; greets and directs visitors and clients to appropriate service area. Answers and processes calls, forwarding to appropriate area. Records appointment arrivals and notifies appropriate staff of client's arrival, and books appointments, as needed.
- Maintains filing systems; prepares new files, retrieves existing files, and prepares inactive files, as required. Processes mail. Confirms client information and provides copies to client as needed.
- Takes and processes housing rental payments. Prepares cheque requisitions, obtains appropriate signatures, and forwards to Finance for processing.
- Uses a computer approximately 70% of the time. Files and communicates with others remainder of time.
- Performs related duties, as assigned.

Knowledge, Skills, and Abilities
- Knowledge of office and administrative procedures and math skills acquired through current enrolment in a college/university program in a related discipline.
- Knowledge and ability to follow corporate polices/procedures.
- Organizational and time management skills to work independently, handle competing/changing priorities, and report information for assigned projects.
- Communication and customer service skills to explain information to clients, agencies, other staff, and the public; and participate as an effective team member.
- Ability to read information and documents. Ability to complete forms, records, and letters according to instructions, and to take messages.
- Computer skills using software such as Microsoft Office and databases.
- Must provide an acceptable Police Records Check (Level 2) in order to prove bondability.
- Ability to travel within Waterloo Region.
- Ability to support and demonstrate the Region’s values.
Additional Knowledge, Skills, and Abilities
To be considered for employment as a student, a person must be: registered as a full-time secondary or post-secondary student in an accredited institution, or currently recognized as having full-time status by the academic institution but applying for a school vacation, practicum or work term, or returning to full-time studies in the next academic term. Students who are in their final year of academic study and who are not intending to return to full-time studies are eligible for student employment up until the time they convocate. Students participating in education and retraining programs at the post- secondary level, though not full-time students, are eligible for related student employment opportunities, where appropriate.
