Digital Disclosure Specialist

Summary

Responsible for the preservation, handling, redaction, and disclosure of records and digital evidence, including multimedia files, such as audio communications, videos and images, for the purposes of criminal investigations and court disclosure; administers the retention and destruction of records and evidence within the Digital Evidence Management System (DEMS).

You Will:

  • Monitor and export requested records and digital evidence, apply redactions, preview for accuracy, and prepare for timely dissemination using police/justice systems.
  • Assist members with digital evidence requests.
  • Use manual processes for record preparation in urgent situations, following guidelines.
  • Disclose records and evidence to the Crown’s office or relevant parties, ensuring proper file naming and secure submission, correcting errors as needed.
  • Maintain documentation and reports on digital evidence handling, ensuring confidentiality and chain of custody.
  • Liaise with officers on file discrepancies, escalating to the Supervisor if needed, and prepare memos for Court Administration.
  • Ensure security, confidentiality, integrity, and compliance with legislation and court orders.
  • Query systems (RMS, ICON, CPIC) to check record status for retention or destruction.
  • Attend court trials to testify on redaction, accuracy, and continuity of digital evidence.
  • Support the development and presentation of training materials for digital evidence handling.
  • Act as a subject matter expert, aiding in policy and procedure development. 

You Have:

  • Proficiency in reading, writing, communication, and mathematics is required, normally acquired through the successful completion of a two (2) year community college diploma in records and information management, data quality, justice administration or a related field. A combination of education and experience may be considered.
  • A minimum of one (1) year of relevant customer service experience is required to interact with internal members of all ranks, as well as members of the Crowns office and external agencies.
  • One (1) year of relevant experience in legal or justice administration, information management, health care administration, or a related discipline is preferred.
  • Knowledge of standardized procedures and processes, proficient keyboarding skills, data entry, file management, and document organization is required.
  • Proficiency using Microsoft Office programs including Word, Excel, PowerPoint, and Outlook is required.

You Are:

  • Required to have strong conflict resolution skills to resolve discrepancies or issues with requested files.
  • Proficient in police and justice information systems (DEMS, RMS, CPIC, SCOPE); prior experience is preferred.
  • Knowledgeable of the judicial system, disclosure rules, purging policies, court file handling, legal terminology, and police agencies.
  • Able to comprehend and apply legislation, regulations, and procedures, following the Records Retention Schedule and the Municipal Freedom of Information & Protection of Privacy Act.
  • Resilient and can regularly handle sensitive or distressing digital evidence (e.g., police incidents involving violence).
  • You have high attention to detail and can identify errors or omissions under time constraints, ensuring high-quality work.
  • You have excellent listening skills for redacting audio communications and can retain and recall technical information.
  • You possess strong interpersonal skills for collaborative teamwork, problem-solving, and process improvement.
  • You have excellent time management and organizational skills, enabling you to prioritize workload and balance competing priorities.
