Record Check Specialist

Summary

The Record check Specialist processes police record checks and collects fees for services offered on-line and at the Police Reporting Centre (PRC), as well as provides administrative support to ensure compliance with regulatory and service delivery requirements. 

You Will:

  • Prepare and process police record checks as legislated under the police Record Check Reform Act (PRCRA), as well as PRCRA exempted checks under specified Acts, and Local Police Records Checks for record suspensions, to meet applicable deadlines
  • Provide information regarding fees, forms, requirements of each type of police record check, Access to Information requests, fingerprinting, Record Suspensions, purging of files.
  • Query individuals through the Customer Service Workbench for the Niche Record Management System (RMS), Canadian Police Information Centre (CPIC) system, and Public Safety Portal (PSP) system, and reviews queries to assess possible release of information.
  • Release police records with convictions, charges with various dispositions, non-convictions, police contact, warrants, current judicial orders or discharges from WRPS and adds the information to appropriate record checks as authorized.
  • Query vulnerable sector database
  • Fingerprint applicants with a hit against the vulnerable sector database or with a criminal record on a daily basis and on rare occasions for identification purposes.
  • Perform data entry into online customer service program 
  • Redact to ensure material being released is accurate and complete by applying the appropriate exemptions pursuant to the Municipal Freedom of Information and protection of Privacy Act (MFIPPA) or determine appropriate legislation that may supersede this Act.
  • Process Access to Information requests within the legislated timeline.
  • Provide guidance and practical training to new and temporary employees assigned to the Unit.
  • Other duties as assigned

You Have:

  • Two (2) years of customer service experience.
  • Knowledge of privacy and access legislation, along with familiarity with best practices.
  • Knowledge of standardized administrative procedures and processes normally acquired through previous professional office experience.
  • Skill in the operation of a personal computer with proficient keyboarding, data entry skills and knowledge of Microsoft Office programs including Word, Excel, PowerPoint and Outlook
  • Acquired knowledge of the confidentiality and privacy provisions contained in legislation, procedure and policy that protect the unlawful dissemination of information, including highly sensitive material such as mental health information and surveillance / intelligence communications. 
  • Proven organization, multi-tasking, time management, and planning skills required to manage competing priorities in a fast-paced, constantly changing environment.

You Are:

  • Able to learn, understand and work within the confines of the police computer networks such as Niche RMS, the Intranet, CPIC System, PSP System, and the Customer Service Workbench.
  • Able to obtain knowledge of WRPS policies, procedures and practices; WRPS customer service program and PRC queuing system; and Records Branch general policies, practices and procedures.
  • Able to obtain knowledge and understanding of police records file keeping, storage and query methods, the judicial system and related paper flow processes, court related terminology and processes, and police related agencies. 
  • Able to comprehend, reference, and apply various procedures, guidelines (e.g. OACP LEARN) and legislation, including the Police Record Check Reform Act, the Criminal Code, the Criminal Records Act, the Youth Criminal Justice Act, the Municipal Freedom of Information and Protection of Privacy Act, the Ontario Human Rights Code, the Accessibility for Ontarians with Disabilities Act and the CPIC Policy and User Manual.
  • Able to input data into routine correspondences for signature of the Supervisor.
  • Able to read and apply incidents, occurrences, record suspension booklet, court dispositions, charge wordings, RMS reports and CPIC and Criminal Name Index (CNI) reports.
  • Able to participate as an effective team member and to support and project values compatible with the organization.
